We have a great team working on the Jingle Bell Run this year, but there is always room for more! Below is a breakdown of the positions and what each of them entail. If you have an idea for a position not listed, please contact us! We love hearing fresh ideas!


Jingle Bell Run

Committee Descriptions

Event Chair(s)

Time commitment: 12-15 months

Goal: Acts in partnership with Arthritis Foundation staff to ensure that the Jingle Bell Run meets financial goals and objectives.

Activities:

  • Recruit and lead a team of volunteers to build and implement the overall event strategy
  • Meet regularly with committee members to track progress

Marketing Committee

Marketing Committee Lead (reports to JBR chairs)

Time commitment: 10-12 months

Goal: Ensure that the Jingle Bell Run receives maximum visibility in the community and enhances our advertising and recruiting efforts.

Activities:

  • Recruit and lead a team of volunteers to develop marketing & PR strategy/timeline including online/social media, grassroots efforts, press releases, present stories and coordinate interviews with radio, TV and print publications.
  • Implement strategy to integrate AF mission and programming into event communications.
  • Coordinate event day media, emcee scripting and message points
  • Work with media sponsor(s) and AF staff to promote event

Marketing Committee Roles (all reporting to Marketing Committee Lead):

  • Online & Social Media
    • Time commitment: year round
    • Goal: Ensure that the Jingle Bell Run receives maximum visibility on the web and enhances our recruiting efforts online.
    • Activities:
  • Provide updated content for event web site regularly (in conjunction with marketing plan)
  • Increases and maintains online presence utilizing social media, blogs, online calendars, etc

  • Grassroots Marketing
    • Time Commitment: 9-11 months
    • Goal: Ensure that the event receives maximum visibility in the community and enhances our advertising and recruiting efforts.
    • Activities:
      • Coordinate brochure/poster distribution and placement.
      • Organize brochure/poster distribution day (recruit volunteers, create distribution plan, etc.)
      • Identifies & secures promotional opportunities at community events (other races/fun runs, farmers markets, sporting events, etc.) to raise awareness of the Arthritis Foundation and JBR/W
      • Recruits new registration by reaching out to local groups & organizations (running clubs, gyms, Cross-fits, community groups, etc.)

  • Public Relations
    • Time commitment: 9-11 months
    • Goal: Ensure that the event receives maximum visibility in local media sources.
    • Activities:
  • Work with AF staff to generate timely press releases based on marketing timeline
  • Obtain & coordinate interviews with local radio, TV, and print publications
  • Mission Delivery
  • Time Commitment: 9-11 months
  • Goal: Ensure that the Arthritis Foundation mission is communicated throughout all aspects of the event.
  • Activities:
    • Work with AF staff to support, mentor and cultivate honoree(s) and/or grand marshals
    • Identify opportunities within event cycle to increase mission connection and implement activities to drive awareness
    • Plan and implement activities/area at JBR showcasing Arthritis Foundation mission components: Programs, Public Health, Research, Advocacy

  • Honorees/Heroes/Grand Marshals
    • Time Commitment: 9-11 months
    • Goal: Be the "face of arthritis" for the Jingle Bell Run/Walk event
    • Activities:
  • Willingness and ability to share their story/AF connection via website and/or emails, at kickoff and other campaign events, with the media and be recognized at the event

Team Cultivation & Fundraising Committee

Team Cultivation & Fundraising Committee Lead (reports to JBR chairs)

Time Commitment: 9-12 months

Goal: Cultivate, prioritize and grow new & returning teams in conjunction with staff. Work with new and returning teams to maximize fundraising efforts.

Activities:

  • Lead a team of volunteers to cultivate and motivate teams
  • In conjunction with AF staff, develop and implement retention and cultivation strategy/plan
  • Participate in team goal setting process as needed
  • Provide support and motivation to teams
  • Track progress towards fundraising goal and work with staff and event chairs to achieve positive results
  • Create and utilize a process to support and provide resources for new teams

Team Cultivation & Fundraising Committee Roles (all reporting to TC&F Lead):

  • Returning Team Cultivation
    • Time commitment: 6-8 months
    • Goal: Retain, prioritize, cultivate and increase fundraising with returning teams
    • Activities:
  • Work with an assigned list of returning teams to secure and encourage participation in JBR/W
  • Check in regularly with assigned teams, provide fundraising tips, tricks & resources, challenge teams to fundraising goals & congratulate when achieved. Communicate upcoming contests and team incentives/deadlines.
  • Work with Marketing Committee to highlight "cool & interesting" elements of teams in social media

  • New Team Cultivation
    • Time commitment: 6 months
    • Goal: Ensure new teams are set up for success
    • Activities:
  • Check in with new team captains as they sign up. Provide fundraising tips, tricks & resources, challenge teams to fundraising goals & congratulate when achieved. Communicate upcoming contests and team incentives/deadlines.
  • Work with Marketing Committee to highlight "cool & interesting" elements of teams in social media
  • Work with AF staff to reach out to new JA families and connect them with JA team or help them form their own team

  • Individual Fundraisers (who are not also team captains)
    • Time commitment: 6-8 months
    • Goal: Retain, identify and cultivate individual fundraisers
    • Activities:
  • Work with an assigned list of returning top fundraisers to secure and encourage participation in JBR/W
  • Engage with new potential top fundraisers
  • Check in regularly, provide fundraising tips, tricks & resources, challenge them to reach fundraising goals & congratulate when achieved
  • Communicate upcoming contests, incentives and special VIP treatment on event day
  • Work with Marketing Committee to highlight their efforts on social media

  • Event Kickoff
    • Time commitment: 6 months
    • Goal: Ensure the JBR/W has a successful event Kickoff for team captains, top fundraiser and corporate partners
    • Activities:
  • Work with AF staff & event chairs to secure venue & date for event and coordinate invitation process
  • Work with Team Cultivation Committee to determine invite list and follow up plan
  • Plan inspiring program for kickoff in coordination with the Marketing Committee & AF staff

Logistics Committee

Logistics Lead (reports to JBR chairs)

Time Commitment: 9-12 months, heaviest in weeks leading up to event

Goal: Plan and implement all day of event logistics

Activities:

  • Lead a team of volunteers to ensure all event day logistics are planned, coordinated, and efficiently run.
  • Recruit and train day - of event volunteers
  • Work closely with Race Director and/or Timing Company
  • Oversee event set-up and tear-down including placement of event registration area, staging, refreshments, sponsors booths, rentals, etc

Logistics Committee Roles (all reporting to Logistics Committee Chair):

  • Volunteer Coordination
    • Time commitment: 6-8 months
    • Goal: Ensure packet-pick up & JBR/W is staffed with sufficient trained volunteers to produce a smooth event
    • Activities:
  • Recruit day of event volunteers
  • Work with other logistic committee members to create job descriptions for each volunteer role & determine number of volunteers needed
  • Orient & train volunteers

  • Procurement
    • Time Commitment: 6-12 months
    • Goal: Solicit in-kind donations to decrease expenses, increase revenue and boost event experience
    • Activities:
      • Identify and seek in-kind support that will help decrease event expenses (i.e. printing, tables & chairs, food, DJ, etc)
      • Identify and procure in-kind donations (sports tickets, restaurant gift certificates, etc.) to be used as raffle items and fundraising contest prizes leading up to the event.
  • Packet Pick-Up
    • Time commitment: 3 months
    • Goal: Plan and implement all packet pick up activities
    • Activities:
  • Plan & execute all elements of packet pick up, including securing venue
  • Work with AF staff and Marketing team to promote and market this event
  • Work with Volunteer Coordinator to recruit & train volunteers

  • Cheer Garden/Elf Village/VIP Winter Wonderland Leads
    • Time commitment: 3 months
    • Goal: Plan and implement all day of event activities in these specific areas
    • Activities:
  • Plan & execute all activities and logistics of specific area
  • Work with AF staff and Marketing team to promote and market this area
  • Work with Volunteer Coordinator to recruit & train volunteers

  • Stage Manager/Event Program
    • Time commitment: 3 months
    • Goal: Manage day of event program
    • Activities:
  • Work with AF staff to create day of race program
  • Manage the stage & announcements day of event, working with MC and AV company

  • Rudolph Training Runs
    • Time commitment: 3 months
    • Goal: Provide a training opportunity for runners & create excitement around JBR/W
    • Activities:
  • Work with Super Jock & Jill to coordinate training runs
  • Work with Marketing Committee to advertise training runs
  • Attend each training run to promote the event, host raffles, give out swag, etc.
