Volunteer Job Description: Silent & Live Auction Chair, Celebrating Hope

Location: Fairfield County

Division/Department: Development / Special Events

Reports to: Tori Vigorito, Events Director

Event Specifics: Celebrating Hope is about creating an evening to inspire people to believe, hope, and help make a difference in the fight against Alzheimer’s disease. We are poised and ready to take our 5 th year to the next level.

The silent and live auction contributed over $50,000 to overall event growth last year. This year we want to refine the way we solicit items and introduce a new electronic bidding system.

General Committee Meetings : TBD - based on discussion with co-chairs and 2017 confirmed committee members

Planning timeframe : December - June 2017 (Event Date Friday, May 5th)

Auction Objective: Manage a group of 10+ volunteers to solicit, secure and package silent auction items (~50 packages, ~150 items).

Event Objectives

Guests : 500 guests

Dollars: $500,000

Awareness: Spread awareness of the disease statistics and the Alzheimer’s Association.

Essential Duties and Responsibilities:

· Partners with Staff, Celebrating Hope Co-Chairs and committee in the planning and execution of the auction (live & silent)

· Liaison between auction solicitor volunteers and co-chairs

· Manages, oversees and trains the auction solicitor volunteers (Required documentation, list of auction items, etc)

· Delegates the auction checklist to the auction solicitor volunteers

· Follows-up with auction solicitor volunteers to assess how the solicitation is going

· Reports silent auction item status to event chairs and special events director on a regular basis

· Develops and helps execute a plan to store and package auction items

· Ensure thorough documentation of auction donor forms and inputs into an online system (google drive) for careful tracking

· Oversee upload of items/packages to 501Auctions software tool

· Partners with event chairs to determine required auction marketing materials

· Available to attend leadership meetings with event chairs

Background

· Experience with project management (Ability to lead and delegate)

· Knowledge of Fairfield County

Skills

· Experience with Microsoft Office

· Organized / Attention to timeline and details

· Ability to collaborate

The Connecticut Chapter of the Alzheimer's Association depends on the commitment and dedication of its volunteers. We have a variety of opportunities to offer volunteers throughout the state of Connecticut. Volunteers help us run special events, work in our offices, deliver education and programs, act as advocates and speakers in the community, staff our helplines and run Support Groups, as examples. Our volunteers are passionate and enthusiastic members of our team without whom we could not work towards an end to the Alzheimer's disease.
