Save a Forgotten Equine (SAFE) horse rescue located in Woodinville, WA is looking for a person or persons to fulfill the organization’s bookkeeping needs. SAFE is a grassroots, growing organization that is committed to transparency and sustainability. The role of bookkeeper is a key aspect of the organization’s goal of remaining a responsible and financially sound organization.

The role of bookkeeper will require approximately 20 hours of work each month, with much of that commitment being weighted toward month end closing. An ideal bookkeeper would have a working knowledge of Quickbooks, the availability to check email regularly and respond to questions and requests is a timely manner and be able to provide completed monthly numbers and reports no later than the end of the first week of the following month. This positon can be done viritually, however, we would love to have a local volunteer that can connect with the horses, organization and other volunteers.

Volunteer Position Duties:

-obtain timesheets from hourly employees
-run monthly payroll via ADP (processed up to two days before check date)
-pay monthly 941 taxes before the 15 th of each month via ADP

Accounts Payable
-pay bills throughout month via online bill pay
-pay monthly/recurring bills by 25 th of each month via online bill pay

Month End
-Enter all accounts receivable and payable into Quickbooks
-Monthly reconciliation of two checking accounts
-Reconcile credit card statement monthly
-Monitor PayPal account and transfer funds to bank account at month end
-Throughout month, monitor bank account for normal activity
-Produce monthly and as needed reports, including P&L, YTD, and budget tracking numbers and supply to appropriate Finance Committee member
-Update a monthly cash flow document for Finance Committee for quick monthly budget comparison and review

Other duties
-Quarterly taxes: submit 941 form, 940, L&I and Unemployed by January 31, April 30, July 31, October 30
-Submit and provide W2’s to all employees by January 31 for the preceding year
-Regularly update chart of accounts in QuickBooks to match budget categories, as reviewed/changed by Finance committee
-answer questions as needed regarding budget and numbers
