Glow: Illuminate the Night is Pilchuck Glass School’s 38th annual auction and gala on Saturday, October 15th, 2016 at Fremont Studios.
We need volunteers to take part in Seattle’s premier glass auction featuring outstanding works from artists both locally and worldwide. All proceeds from the event support Pilchuck Glass School.
There are several ways to get involved as a volunteer from event prep to handling art!

Administrative Auction Prep
Seattle Office located in Pioneer Square
We have two shifts available the week of the Auction to help with administrative duties (such as name tags, swag bags, organize auction bidder cards, etc.) and prepare for the event.
Saturday, October 15, 2016
Registration || 3:30pm-9pm
The Registration Team works with a GiveSmart team member to sign in and welcome guests, provides them with registration materials and answers general questions regarding the auction. Volunteers should be friendly, detail-oriented and work well under pressure.
(GiveSmart is a 3rd party company responsible for processing all transactions on the night of the auction)
Live Auction Art Handlers || 5:30pm-10pm
Glass handling experience required. The Live Auction Art Handlers remove the art from the display room and bring to the stage for the glass handlers. When off the stage, the Live Auction Art Handlers will carry the Live Auction item into the packing room.
Bid Spotters || 5pm-10:30pm
Bid Spotters are assigned a grid position within Studio A (where the Live Auction takes place) and will point toward bidders during the Live Auction with a wand to assist the auctioneer in seeing the patron’s bid number. The spotter with the winning bidder in their grid will move to the winner and remain in place until the auctioneer announces the winner and until the bid runner arrives at the patron’s table.
Bid Runners || 5pm-10:30pm
Bid Runners pay attention to who has the winning bid in the Live Auction. The runner delivers a duplicate form to the purchaser, has them sign the form and returns to the bid runner team leader.
Packing Team || 5pm-10:30pm
The Packing Team will deinstall the silent auction items and pack the art. This team deinstalls/receives and re-packs all auction items. Each box is labeled with the artist’s name and the catalog number of the artwork. Once packed, the boxes are transported to the Pick Up area. There will be a GiveSmart representative marking the boxes with winning bidder information between the Packing and Pick Up areas. Wear jeans, and closed-toed shoes.
This year, we have two parts of the Packing Team. The Glass Handlers must have glass handling experience and be able to lift medium to heavy objects. The Support Team does not need glass handling experience, but will be labeling, running, checking, and providing essential support to the Glass Handlers.
Pick Up Team || 7:30pm-11pm
This team receives boxes from the Packing Team then sorts the boxes by bidder #. This team works with GiveSmart to receive paid receipts from each guest. The volunteer will collect the guests' items and transport boxes to Valets (if needed) and guests at the designated meeting area. Must be detail-oriented with strong organizational skills.
