We focus on work as a path of transformation and are part of a network of organizations dedicated to supporting large-scale cultural preservation projects in Asia, including the printing and distribution of over 4 million books to Tibetan refugees.

We offer challenging, meaningful work in a community conducive to spiritual growth.

We are a non-profit organization comprised of full-time volunteers who work 6 days a week.

Minimum commitment is 1 year, with a trial period of 2 weeks.

Classification & Compensation

This is a full-time volunteer position with shared rooms, all meals provided, access to classes, and a $150/month living allowance.

Position

The Executive Assistant provides executive and administrative support to the Director, as well as her direct reports. The dynamic candidate we seek will be organized, detail-oriented, flexible, creative, serious, committed, and passionate about his/her work.

RESPONSIBILITIES

  • Act as first point of contact for the Director.

  • Assist Director daily: schedule meetings, organize projects, provide administrative support to the organization’s management team.

  • Heavy calendar management.

  • Perform administrative duties and functions requiring confidentiality, initiative, and sound, decision-making.

  • Plan, schedule and coordinate meetings, visitors, retreats and other events.

  • Create and distribute Director organization updates and other information as needed.

  • Coordinate travel arrangements for the Director and staff, as needed.

  • Additional duties as assigned.

REQUIREMENTS

  • 1 or more years relevant experience in an Executive support role or equivalent.

  • Prioritizes tasks and meets deadlines with minimal supervision. Strong problem solving.

  • Experience and skill creating and organizing presentations and reporting.

  • Excellent organizational and planning skills with attention to detail.

  • Thinks ahead, minimizing potential problems. Proactive in identifying areas to improve.

  • Effective verbal and written communication skills.

  • Communicates with respect. Adjusts communication to level of audience. Communicates openly and directly. Responds professionally.

  • Ability to handle highly confidential and technical material.

  • Ability to work efficiently and handle multiple projects and tasks concurrently, in a fast paced environment.

  • Proficient Mac or PC skills to include Microsoft applications (Outlook, Excel, PowerPoint,and Word).

  • Takes initiative to learn new systems and stay current in area of expertise.

The Guna Foundation archives historical footage; creates web media, photo exhibitions, and promotional material; and produces documentary films all in-house at our studio in Berkeley, CA.
