Monterey Jazz Festival is looking for a Development & Administrative Intern to support Monterey Jazz Festival activities throughout the year. A qualified individual will be trained to evaluate foundation prospects and potential donors. The Development & Administrative Intern will be trained to be a strong office administrator and will learn valuable skills in non-profit administration and fundraising.

PRIMARY RESPONSIBILITIES:

Development

  1. Facilitate donor record keeping and data input using development tools and databases
  2. Assist with direct mail and telephone solicitations for annual appeals
  3. Assist with special events including: ambassador and alumni receptions, donor events, Jazz Legends Gala, etc.
  4. Conduct prospect research
  5. Handle gift processing and acknowledgements
  6. Facilitate additional responsibilities as assigned by the Director of Strategic Relations or Administrative Coordinator

Administration

  1. Answer incoming phone calls, traffic phone messages; respond to and/or traffic general email inquiries to staff
  2. Open, date stamp, and forward all mail to the Administrative Coordinator. Prepare outgoing mail/packages. Scan contracts and documents to the organization server
  3. Track and record tickets donated back to Monterey Jazz Festival
  4. Maintain professional appearance of the office environment. Oversee light office maintenance on a daily basis; turning office machines on and off, filling copy machines with paper, emptying shredder, removal of excess trash, assist with organizing office copy rooms
  5. Assist with mailings, R.S.V.P.s and guest check-in at Monterey Jazz Festival events (including Jazz Legends Gala, and other donor events)
  6. Assist with coordination of Monterey Jazz Festival administrative office move to event site(s), e.g. Fairgrounds and Conference Center and back to Festival office again
  7. Support administrative and development staff as required during Monterey Jazz Festival in September
  8. Serve as a liaison between board members, staff, contractors, vendors, clients, and patrons; maintain in-depth knowledge of company policies, procedures, and projects in progress
  9. Assist with the creation of event collaterals such as parking passes

Description

We are proud to provide year-round Jazz Education Programs. Each spring we invite over 1300 of the nation's top student musicians to play their hearts out at the Next Generation Jazz Festival. One of the most inclusive festivals in the Unites States, the festival welcomes performances by middle, high school and collegiate groups of every kind: big bands, combos, vocal ensembles, vocal soloists, as well as conglomerate bands.

In September we are honored to present the Monterey Jazz Festival at the Monterey County Fairgrounds, where the Festival was first presented in 1958. The Monterey Jazz Festival began as a dream for founder Jimmy Lyons and his co-founder and colleague, Ralph Gleason. They dreamed of a "sylvan setting with the best jazz people in the whole world playing on the same stage, having a whole weekend of jazz." Bringing in artists like Dizzy Gillespie, Louis Armstrong, John Lewis, Shelly Manne, Gerry Mulligan, Art Farmer, Ernestine Anderson, Harry James, Max Roach, and Billie Holiday.

Every year since then, the festival continues to sees the same caliber of talent appear on eight stages on the Monterey Fairgrounds. The Monterey Jazz Festival presents the best jazz performers in the world to the community, and continues providing Jazz Education programs to the youth.
