Event Production Intern

Play Like A Girl’s Pop-Up Play Day Tour will travel to five states across the Southern U.S. this summer, promoting a healthy lifestyle and engaging local children in active outdoor play in their natural settings of schoolyards, neighborhood parks and street festivals. Event Production Interns will be involved in all facets of event planning and coordination for events in Atlanta, Nashville and New Orleans. Interns may work virtually or onsite at the Nashville, TN headquarters of Play Like A Girl.

This internship position offers abundant networking, exposure and learning opportunities. This is an unpaid position but is eligible for course credit. Interns will learn the role of an Event Production Coordinator and provide support to the Pop-Up Play Day Tour.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Duties will include but are not limited to:

  • Serve as primary office support for Event Production Manager and secondary onsite contact managing one or more onsite functions such as: operations, registration, sponsorship, marketing and communication, social media, budget/finance, staffing, vendors, infrastructure or location services
  • Coordinate and process vendor orders, invoices and logistics as well as communicate vital information across multiple departments, projects and entities
  • Assist Event Production Manager with sourcing, recruiting and managing event staff
  • Oversee fulfillment orders, freight and delivery schedules, shipping and receiving manifests, heavy equipment ordering, and event material logistics
  • Manage travel and accommodations for multiple events, clients and staff
  • Generate comprehensive reports, summaries, schedules and proposals
  • Interact with and provide assistance to clients and related staff as needed
  • Participate in production meetings and provide insight to clients and staff on event operations
  • Assist in obtaining various local, city and state permits as needed
  • Create production schedules, contact sheets and travel itineraries for multiple events and projects
  • Conduct research across varying areas such including new vendors, background data and venue information
  • Garner an overall awareness of industry trends, players and happening
  • Other duties as assigned

REQUIREMENTS:

  • Post-graduates and Bachelor or Graduate degree students with a 3.0 GPA or higher
  • Preferred majors include: Event Management, Hospitality Management, Tourism, Marketing, Communications, Child Development, Early Childhood Education, Public Health, Exercise Physiology, Physical Education or related fields
  • Available 20-30 hours per week from May - October 2016 (may include some weekends)

PREFERRED QUALIFICATIONS:

  • Previous experience in event, technical production or marketing fields preferred
  • Highly proficient in Microsoft Word, Excel and PowerPoint and an intermediate comprehension of Adobe Photoshop, InDesign or other Creative Suite elements
  • Exceptional written, oral, and interpersonal communication skills possessing a keen ability to effectively communicate across internal teams, clients, vendors, temporary field staff and personnel
  • Detail-oriented and well organized with the ability to multi-task and manage multiple projects across multiple disciplines effectively
  • Able to work efficiently and productively under tight deadlines
  • Able to work in a group environment or independently
  • Results-oriented strategic and conceptual thinker
  • Able to work on evenings and weekends as required
  • Able to travel on a per-project basis if needed
