The administrator manages the overall daily office operations, and will oversee a number of activities including human resources, facilities management and finance. As such, this person or persons tends to have a diverse knowledge of various functions, rather than specializing in one specific area. The job requires the Administrator develop and implement organizational strategies and policies, plan the use of materials and human resources and coordinate among the many volunteers working at PCH.
The Administrator works to improve processes andd policies and plays a role in long-term organizational planning. Specific duties may fall into a variety of categories, such as:
Office Management: manages the daily office operations, negotiates contracts, manages vendor relationships, primary liaison to building landlord and oversees the office operating procedures.
Scheduling: coordinates activities and classes with instructors, manages vendors and acts as liaison to building manager. Reserves rooms as needed.
Finance: maintains daily/weekly accounting support and cash management. Provides data and periodic reporting to Board. Approves expenditures within the board-approved budget, review operating costs. Receives all payments to PCH and prepares deposit entries.
HR: works with instructors and Board to recruit and train new instructors; maintains instructor class logs, monthly volunteer logs and ensures that the Instructor and Volunteer manuals are up to date.
