2017 Silicon Valley Heart and Stroke Walk - Event Logistics Committee

Overall Logistics Committee Structure

  • Time commitment: 7 months
  • First committee meeting is April 2017
  • Committee meetings to be once a month, with bi-weekly meetings starting in August
  • Participate in Monthly Committee Meetings
  • Serve as a member of the Event Logistics Committee to aid in planning the Heart & Stroke Walk festivities area
  • Attend walk set up the day before event, typically on a Friday, and main event, typically on a Saturday
Roles Need to be Filled
1. Festivities Chair
  • Coordinate with AHA staff on Kidz Zone, Event Vendors, VIP Area, Survivor Area, Info/First Aid, Signs and Banners, as well as Villages.
  • Ensure festivity assignments are completed as scheduled
2. Entertainment Chair
  • Areas to include: route entertainment, stage entertainment, festival area entertainment
  • Develop entertainment schedule with AHA Staff
  • assist AHA Staff in securing mascots
3. Event Route Chair
  • Serve as volunteer walk route leader of the Heart & Stroke Walk
  • Areas to include: main route, start and finish lines areas, water stations, and positioning of route entertainment
  • Manage all route volunteers
4. Parking Chair
  • Plan, mark and manage the Silicon Valley Heart & Stroke Walk event parking(s) and security areas
  • Areas to include: main parking, VIP parking and expo entrance area
  • Manage all parking volunteers
  • Coordinate all parking signage
5. Volunteer Chair
  • Serve as volunteer recruitment leader of the Heart & Stroke Walk Event
  • Finalize all volunteer position descriptions and ensure organization of volunteers for day of event
  • Recruit and manage all volunteers
  • Coordinate with AHA staff to make sure all volunteers receive volunteer t-shirt
  • Lead orientation for day-of-event volunteers
6. Kid Zone Chair
  • Areas to include: Kid Zone, and all Kid Friendly areas
  • Finalize all Kid Zone activities for day of event
  • Manage all volunteers for kid zone and kid friendly activities
7. Participant Experience Chair
  • Work on improving the overall participant experience at the event
  • Create Life’s Simple 7 route activities
  • Think about the experience the participants will have from the moment they arrive, to the moment they leave, and suggesting areas we can improve
8. VIP Zone Chair
  • Serve as the VIP Zone activities leader for the Heart & Stroke Walk Event
  • Recruit and manage all volunteers, vendors, and activities for VIP Zone
