Job Description

This person reports to the President of Knowledge Is Key, Inc., is accountable to the Board of Directors when applicable, and supervises if applicable, any and all student members.

Will be responsible for maintaining records and ensuring accurate and sufficient documentation exists to not only meet legal requirements, but to enable authorized persons to determine when, how and by whom business was conducted.

Responsibilities:

  • Must attend 4 Officers meetings annually
  • Must attend at least two board meetings annually, with additional meetings as needed
  • Time commitment is approximately 15 hours/week
  • Continuity & maintenance of policies and practices
  • Records, ensures accuracy and ensures availability of meeting minutes
  • Submits various reports when applicable to officers and board members
  • Ensures that any and all minutes recorded are approved
  • Acts as custodian of all records
  • Ensures all records of the organization are maintained as required by law and made available when required by authorized persons
  • Maintains records of membership
  • Maintains records of the organization’s by-laws and ensures a copy is available at every meeting
  • Manages the general correspondence of the Board of Directors, except for such correspondence assigned to others
  • In the absence of a President, Vice-President or Chairperson the secretary calls and presides over meetings
  • Acts as a signing officer for certain documents
  • Responsible for filing all documents with respect to the laws of jurisdiction

Job Requirements

  • High School Diploma or equivalent
  • Past experience in an administrative or related role
  • A working knowledge of state and federal rules and regulations for not-for-profit organizations preferred
  • Strong verbal and written communication skills
  • Strong note taking skills are a must
  • Excellent attention to detail is a must
  • Ability to make high quality decisions on a repetitive basis
  • Ability to work under pressure; flexibility and willingness to work at a rapid pace
  • Ability to understand and carry out oral and written instructions
