This position's key responsibilities include providing general office & administrative support to the WAAA staff.

Administrative Assistant Duties

Daily tasks:

-Check and Update office calendar. Send reminders.

-Restock printer paper.

-File items and keep drawers, files, and closets organized.

-Check in with admin staff, review volunteer task list/wish list

-Schedule meetings, Attend meetings, and take notes.

-Get Mail every other day, go through, open and give appropriate things to appropriate person, ask Amy questions if unsure about certain items.

-Stay organized, work independently without constant supervision.

Weekly tasks:

-Send Invoices for social programs

-Create and send thank you's, receipts, and invoices (April walk only)

-Post notices and ads on Facebook and Yahoo Groups.

-Create and update CRM events.

-Check calendar for special event deadlines (WAAAlk applications, resource fair applications)

-Check in with other staff members on Monday or Tuesday if they need any supplies (i.e. paper, ink, light bulbs, pens, brochures, resource fair giveaways etc.).

-Check supply of paper, ink, coffee, and office supplies. Reorder as needed.

-Keep resource fair go bag organized, stocked, and ready to go. Coordinate with other staff.

-Meet and greet volunteers, assign tasks as needed.

Ongoing tasks:

-Create and update spreadsheets and documents.

-Research events and resource fairs for WAAA participation.

-Update staff, volunteer, champion directories/spreadsheets.

-Research and plan special projects.

-Create small marketing materials.

-Update WAAA Resource Guide Listings as needed or assigned.

-Procure supplies and donations.

-Plan special event logistics.

-Participate in offsite meetings with city and event planners.

-Update this list.
