Festival Founders

Commitment Time Frame:
4 Months prior to festival and throughout festival weekend.


Prefer two years' management experience and/or technical experience. Must be outgoing and have excellent communication and organizational skills. Knowledge of ticketing options and procedures a plus.


  • Manage all aspects of box office set up, ticketing and accounting at each box office location.
  • Oversee Will Call and Day of Show ticket sales
  • Learn ticketing system and help train volunteers.
  • Review and refine box office policy. Determine:
    • How comp requests will be handled
    • How will-call will work
    • How presales/same-day sales/rush sales will work
    • How web orders will work
    • How voucher checking will work
    • Manage and process all pass sales - phone orders, internet orders and walk up
    • Supervise box office volunteers

3 months out:

  • Work with Volunteer Coordinator to schedule pre-ticketing sales and coordinate volunteers
  • Determine any equipment needs and acquire, order ticket stock, order pass stock, ticket printer, ensure proper phone line and fax line set-up, etc.
  • Code ticketing software with film screenings, venues, etc.
  • Coordinate all ticketing for the Gala Events and parties as needed.

1 Month Out:

  • Open tickets sales
  • Train all ticketing agent volunteers.
  • Organize press, filmmaker, pre-approved complimentary tickets and VIP check in. Work with Festival Producer/Directors for complimentary tickets to be released.

Festival Weekend:

  • Open and Close each shift to balance all sales or manage with shift leader or Theatre Manager.
    • cash box
    • Passes/Wrist bands
    • Physical Tickets
    • Ensure there is adequate stock of tickets, passes, etc., at all venues/box offices.
    • Collect all ticket sales logs at the end of each day and verify that all money and sales are balanced.
    • Provide end-of-day online ticket report to each venue’s Theatre Manager.
    • Responsible for all badges
      • Track all VIP, filmmaker and Sponsors
      • Report at end of each day, badges not collected
      • Track attendance (e.g. total attendance, total ticket holders and badge holders etc.)

Closing Night:
Return all equipment and clean up box office areas

Write wrap-up report including attendance figures and suggestions to improve department efficiency.
