Summary of Position

The public information associate serves by providing support with clerical and general administrative duties for the Public Information department of the Pikes Peak Workforce Center (PPWFC). The objective of this role is to help promote the services offered in El Paso and Teller Counties and assist with producing an increased visibility, awareness and ultimate impact of the PPWFC.

Essential Duties

  • Assist with data entry and database maintenance related to PPWFC newsletters
  • Proofread and potentially produce content for the PPWFC newsletters
  • Assist in development of promotional materials as requested
  • Maintain and distribute PPWFC promotional literature; ensure satellite offices are stocked; assist with ordering when materials run out; maintain inventory and track usage
  • Assist with media tracking, to include setting up Google alerts and searching online and print media for mentions of PPWFC; enter tracking information into Excel spreadsheet
  • Assist with upkeep of the PPWFC website, to include auditing content, checking functionality, finding information for links, etc.
  • Adhere to the PPWFC customer service standards at all times
  • Work closely with PPWFC staff
    • Complete required tracking of volunteer hours, tasks completed, etc., as appropriate for position
    • Participate in volunteer evaluations to help improve mutual satisfaction and the volunteer program itself
    • Attend meetings, trainings and events as requested and when possible
    • Understand and adhere to all programmatic and agency policies
    • Perform related duties as assigned

Qualifications

  • Must be at least 18 years old and possess a High School Diploma or GED
  • Experience with marketing, media or public information preferred
  • The ability and willingness to learn and adapt to change
  • Proficient with standard office equipment such as computer, multi-line telephone, fax machine, copier, scanner, etc. Highly proficient with Microsoft Office software: Excel, PowerPoint, Outlook, etc.
  • Excellent verbal and written communication skills
  • Experience with writing and editing
  • Commitment to and understanding of the PPWFC services and mission
  • Comfortable working directly with a diverse population of professionals and customers
  • A high degree of professionalism and a friendly, positive attitude

Term of Service

The volunteer must commit to a minimum of 6 months of service. Shifts can be flexible; however, the ideal volunteer will be able to serve on an as-needed basis, no less than 8 hours per month.

Training/Support Provided

  • Orientation to PPWFC and volunteer program will be provided and is mandatory before starting volunteer service.
  • Position-specific training/support will be provided by PPWFC and is mandatory before starting volunteer service.
  • Ongoing support from Operations Manager and department staff.

Department Customer Service

Reports to Operations Manager and Communications Manager or Designee

Work Conditions Work is performed in an office environment

Selection, Training and Development Process

1. Complete a PPWFC Volunteer Inquiry online at www.ppwfc.org

2. Interview with the Operations Manager

3. Pass a background and reference check

4. Complete all necessary volunteer paperwork

5. Sign a written volunteer agreement to commit to a minimum of 6-months of service

6. Attend mandatory orientation (provided by PPWFC)

7. Complete mandatory position specific-training
