Position Summary:

Street Angel Project Inc. is seeking a dedicated and detail-oriented Ongoing Administrative Assistant to provide essential support to our CEO. This is a paid position based on grant funding, offering an excellent opportunity for someone interested in the non-profit sector and who is passionate about making a difference in the lives of homeless individuals. The Administrative Assistant will assist the CEO in day-to-day administrative tasks and play a key role in grant administration activities.

Key Responsibilities:

Administrative Duties:

  1. Calendar Management: Schedule appointments, meetings, and conferences for the CEO.
  2. Email Management: Monitor and prioritize the CEO's email, draft responses, and ensure timely follow-up.
  3. Travel Arrangements: Make travel arrangements, including flights, accommodations, and itineraries.
  4. Documentation: Prepare and maintain important documents, reports, and presentations as needed.
  5. Meeting Support: Attend meetings, take minutes, and assist in distributing meeting materials.
  6. Office Organization: Maintain an organized and efficient office environment, including filing, ordering supplies, and managing office equipment.
  7. Phone Calls: Handle incoming phone calls, screening and directing inquiries appropriately.
  8. Correspondence: Assist in drafting and proofreading correspondence and reports.
  9. Special Projects:Support the CEO on various special projects and initiatives as needed.

Grant Administration Duties:

  1. Research: Conduct research on potential grant opportunities and funding sources.
  2. Grant Writing: Assist in the preparation and submission of grant applications, ensuring compliance with grant guidelines and deadlines.
  3. Grant Reporting: Help track and report on grant-related activities and outcomes.
  4. Grant Database: Maintain an organized database of grants, deadlines, and reporting requirements.
  5. Communication: Coordinate with program managers and finance personnel to gather necessary information for grant applications and reporting.

Qualifications:

- Strong organizational and time management skills.

- Excellent written and verbal communication skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

- Ability to handle confidential information with discretion.

- Attention to detail and accuracy in all tasks.

- Self-motivated and able to work independently.

- Interest in and commitment to the mission of Street Angel Project Inc.

- Previous administrative or grant administration experience is a plus.

- Flexibility to work both virtually and onsite as needed.

Time Commitment:

- This is a paid position based on grant funding.

- Estimated commitment of 15-20 hours per week, with flexibility.
