On April 28th, the AIDS Resource Center of Wisconsin (ARCW) will host its 32nd Annual Make A Promise Gala and Auction, bringing together more than 1,000 business executives, philanthropists, community leaders and friends for an evening of glitz and glamour, while raising funds for the fight against AIDS.
This is a cocktail/ business event. Please dress accordingly. If you are assisting with set up or clean-up, jeans are appropriate to wear.

Supply Drop-off* Friday April 27th 9:00 am - 12:00 pm (meet at ARCW downtown office) * Volunteers will assist with loading and unloading items at venue
Day of the Event (April 28th):
Silent Auction Set-Up 9:00 am - 1:00 pm * Volunteers will organize the auction area by placing items on tables as well as responsible for decorating areas with signs and displays
Ballroom Set-Up 9:00 am - 1:00 pm *Volunteers will set up guest tables and distribute programs, any other signage or written items as needed
Ballroom Ambassadors 4:00 pm - 8:00 pm * Volunteers will provide Wisconsin Center servers with information as needed, final seat checks and counts, help with any last minute details/changes. Welcome guests as they enter dining room and assist them in finding their seats.
Registration Runners 3:30 pm - 7:30 pm * Volunteers will assist registration staff by retrieving guests registration materials
Guest Ambassadors 4:00 pm - 8:00 pm * Volunteers will be stationed at several locations throughout the venue to welcome guests and direct them to coat check, registration, and the silent auction area. At the closing of the silent auction guest ambassadors will encourage guests to move to dining room for dinner.
Silent Auction Monitors 4:00 pm - 8:00 pm * Volunteers ensure all auction items remain in order and where they are suppose to be, observe the auction process to make sure it is orderly, direct any questions about items to staff, promptly collect auction items and transport them to the check-out room at close of auction.
Coat Check Shift 1 4:30 pm - 8:00 pm * Volunteers will greet guests as they arrive and receive, tag and hang up coats; hand guest ticket tag * Direct guests to registration and/or silent auction
Coat Check Shift 2 7:30 pm - Midnight (likely finish sooner) *Volunteers thank guests for attending Make A Promise * Exchange guest’s ticket tag for coat
Prize Pick-up and Auction Room Clean-up 7:30 pm - Midnight * Volunteers assist in wrapping or packaging items to ensure safe transportation, collect any signs and other display items from the auction tables, work with Silent Auction check-out staff to retrieve purchased items from the silent auction tables for the winner
Live Auction and Envelope Appeal Spotters 7:45 pm - 10:00 pm * Volunteers watch for guests who bid on live auction items and point them out to auctioneer, collect winning bidder information. Previous experience with silent auctions or Bidpal is a great asset!
Clean-up 9:30 pm - Midnight * Volunteers collect all ARCW materials and supplies from the ballroom, auction area, lobby, etc. to be returned to ARCW staff.
