Purpose : To serve as C.A.R.E’s customer service representative for telephone callers, email inquiries, visitors, supporters, adopters and donors.

Responsibilities :

• Answer incoming phone calls and retrieve saved messages
• Respond to email inquiries
• Greet shelter visitors and have them sign guestbook

• Respond to questions from visitors
• Provide potential visitors a copy of current Petfinder list for review
• Find Adoption Assistants to walk visitor around the shelter
• Obtain vacancy status daily for cats, kittens, dogs and puppies and post in office
• Provide information on alternative shelters and rescue groups

• Direct and/or escort visitors to various areas of the shelter
• Accept donations and provide receipts
• Escort potential volunteers on a tour of the facility
• Become familiar and stay current with: the facility, staffing, procedures, communications and postings on all boards, internal messages in your designated in box, and the animals in residence
• Know how to use office equipment (i.e., photocopy machine, FAX, and computer)
• Keep the reception area, front and back offices, and supplies clean and/or tidy

• Good customer service skills
• Professional phone voice
• Ability to deal with people in difficult circumstances
• Good listening skills
• Ability to listen, understand and communicate effectively (verbally and in writing)
• Ability to understand and communicate C.A.R.E.’s standard operating procedures, programs, policies, and services
• Ability to use, refer to and relate C.A.R.E. procedures and policies by using reference material (i.e., Volunteer handbook, Office Manual, etc.)

Training :

• Volunteer Orientation
• Read and Understand the Volunteer Handbook and the Office Volunteer Guidelines
• On the job-training with Administrative Program Manager or designee
• Annual office staff meeting
