The director of events normally works with other departments to determine the needs for the function being planned. They help define the goal of the event, how many people will attend, and budget. They then find an external venue for the function (if necessary) and work with coordinators at the venue to ensure that the facility is set up to the director’s specifications. The director also determines logistics around needed audio/visual equipment; companies that do frequent presentations may have their own A/V equipment for such tasks, but the director often needs to source the equipment locally and ensure that it operates properly. Additionally, at functions where food is served, they coordinate with caterers, chefs, or kitchen managers to set up menus that meet the needs of expected attendees.

A director of events must be organized and have an incredible aptitude for detail; they may have multiple events to plan over short periods of time with multiple departments.

Director of Events Tasks

  • Plan, approve and monitor event budget and revenue.
  • Create and sustain productive relationships and negotiate contracts with event-related clients, vendors, companies and supporters.
  • Supervise, train, evaluate, and recognize staff, especially in events marketing and sales strategies.
  • Develop, implement, and market concepts for events to supporters.
  • Inspect site and on-site management of events.
