Position Summary:

The Executive Assistant leads and directs the administrative needs of the President and provides in-depth information of the organization when communicating with the public. This person is skilled in the operation of Microsoft Office software, document production, and complex software applications. He/She must exercises judgment and knowledge obtained on the job, and takes action to correct unusual deviations.

Essential Functions

  • Represent the organization and the President in and out of the workplace with Ivy Child’s staff, volunteers, interns, customers and partners.

  • Serve as administrative leader to assure strong internal communications between all function areas to enable efficient implementation and management of strategic initiatives and to maintain trust and credibility with all staff and volunteers.

  • Communicate with customers, volunteers, interns, and other individuals to answer questions, disseminate tasks, provide guidance and address complaints.

  • Manage and coordinate President’s calendar and schedule.

  • Work closely with the President to keep her well informed of upcoming commitments and responsibilities, following up in appropriately and in a timely manner.

  • Coordinate and set up conference calls, appointments, management meetings, and special events.

  • Attend and facilitate all relevant Ivy Child meetings, events and programs.

  • Complete and manage projects and special assignments.

  • Compile, copy, sort, and file records of office activities, business transactions, and other activities.

  • Prepare and edit correspondence, reports, proposals, grants, presentations and other deliverables.

  • Design and create standard marketing materials (flyers, handouts, brochures etc).

  • Improve personal and organizational work quality by evaluating, re-designing processes, suggesting improvements and implementing changes.

Qualifications & Experience:

  • Prior experience working for a non-profit in the capacity of an administrative/executive assistant

  • Prior experience working with diverse children and youth

  • Strong understanding of nonprofit operations and familiarity with community issues

  • Post-secondary degrees are preferred

  • Superior organizational skills that reflect ability to perform, manage, and prioritize multiple tasks seamlessly with excellent attention to detail, confidentiality, and accuracy
  • Excellent oral and written communication skills

  • Advanced knowledge of the MS Office Suite (Word, Excel & PowerPoint) and social media platforms. Photoshop knowledge is also preferred.
  • Shows initiative, self-motivation and creativity, constantly seeking opportunities and solutions
  • Ability to work well under pressure in a fast-pace environment with multiple priorities and deadlines
  • Ability to work with diverse and multicultural populations and individuals
  • Willingness to learn and take on new tasks/assignments
  • Ability to adapt to new situations and surroundings
  • Must have transportation to come to our Worcester office

Description

Ivy Child International attained its nonprofit 501 (c)(3) status in Massachusetts in 2011,
and continues to provide cross-cultural positive psychological services for children,
families, and communities worldwide. Cross-cultural positive psychology
investigates how cultural factors influence positive behavior. While we all experience
happiness, how this emotion is expressed varies from one culture to the next. This field of psychology looks at both universal behaviors and unique behaviors to identify the ways that culture impacts familial, academic, social, professional, and other aspects of life. Through careful examination of the whole child, personal strengths and assets are identified to build an individualized Positive Psychological Plan (PPP). The Plan highlights goals to be integrated into the child's daily routine as a set of practical exercises and is designed to stimulate his/her mind, body, and spirit. ICI takes a holistic approach in treating and understanding the needs of its clients (ranging from young children to teenagers) by employing nutritionists, alternative medicine practitioners, art therapists, etc. to supplement the customized care provided by ICI’s professionals.
