Please note that this internship is available only to students under the age of 25 as part of our internship program "The Guild." Fluent in both English and Spanish a plus!

Position Summary:

The Program Coordinator will work with the HR Manager to manage and help supervise the youth participating in our work experience program, the Guild, and the children participating in our school age programs under the Youth Enrichment Project.

Duties and Responsibilities

  • Be knowledgeable of organization's mission statement, history, and active programs;
  • Be an active participant in the achievement of long and short-term goals and objectives;
  • Relieve management of administrative detail, in most to all projects;
  • Produce required weekly and monthly reports as directed by the Executive Director;
  • Actively participates in the promoting and networking process to build awareness of our services;
  • Provides guidance to support staff and children to ensure that both have an enriching experience;
  • Organizes orientation sessions that outline goals, procedures and current events for Support Staff, parents and children;
  • Oversees and assists with participant screening, training, matching, support, supervision, recognition and closure activities for interns, mentors, mentees and YEP participants with HR Manager;
  • Secures all consent forms, applications, and other required documentation;
  • Maintains records of attendance and outcomes for Support Staff and youth;
  • Organizes initial and ongoing support and training sessions for Support Staff and Youth;
  • Communicates with supervisor on a weekly basis concerning site or individual issues or new projects;
  • Prepares and provides training materials for Guild and YEP training events;
  • Contributes to program evaluation efforts;
  • Handle all inquiries within capacity;
  • Take down phone messages and arrange "callbacks" to protect supervisor's time;
  • Perform to earn supervisor's full confidence;
  • Assure discreet handling of all business;
  • Seek greater role in projects within administrative and other areas of competence;
  • Keep office organized, clean, and presentable;
  • Perform other duties as assigned by the Executive Director

Qualifications

  • Fluent in English (and Spanish plus)
  • Computer literacy including MS Office products: Word, Excel, and Power Point
  • Exceptional time-management, planning, and administrative skills
  • Ability to organize and prioritize workload
  • Demonstrate high level of diplomacy, sound judgment, and discretion when dealing with donors, clients, volunteers, and community professionals
  • High degree of energy, self-motivation, and flexibility
