The Records Department Legal Assistant, under the direction of the Division Manager, will assist the staff with the organization and the administrative processing of files as needed in the daily preparation of closing criminal case files after final disposition. Tasks include entering and updating data in the office's Action database program, coding files and printing Final Disposition Letters. The Legal Assistant should be proficient with computers and computer software such as Microsoft Office, Microsoft Outlook and Microsoft Word. Files will then be routed to the appropriate person.
The most important part of a legal assistant in Records Section job is the proper maintenance of legal cases on a computer database. Since cases are frequently reopened or referred to in future proceedings, it is imperative that the status of each case is properly categorized and updated in the legal software programs. Case information should be available for quickly access to specific hard copy documents requested by attorneys and through public records requests. Due to the sensitivity and confidentiality of court proceedings, a legal assistant assigned to Records Section is expected to protect the documents in his/her possession and to make sure they are stored in secure locations and to maintain confidentiality on all the work they prepare and maintain.
