501c3 Non profit specializing in mentoring the youth has an immediate opening for an Executive/Office Administrator. The position requires the ability to understand the bigger picture while managing everyday details. This key position is ideal for an EXTREMELY well-organized highly self-motivated, selfless, energetic, punctual, and disciplined individual who excels in a constantly changing environment committed to serving others.

The Executive/Office Administrator will provide administrative support to the Executive team in relation to the formation of, and ongoing activities of administrative duties and documentation for the rest of the organization. Exceptional organizational and communication skills as well as a sense of humor are required! Our culture is one of love and contribution!

Job Responsibilities:

Create and maintain all documentation required for business processes, structures, and other related activities.

Complete, verify, and submit applications/forms containing highly confidential information.

Multi task including emailing, creating spreadsheets, phone calls, and following up

Supports daily/weekly administrative duties

Develop, streamline, and maintain systems for Executive Team, and assist all departments.

Provide meeting agenda and minutes on meetings; take, distribute and maintain all board meeting minutes for all legal entities.

Required skills:

Applicants must have communication skills as well as practical experience in dealing with people powerfully and clearly. Must be willing to grow, expand, and develop!

Excellent communication skills in person, on the phone, and in writing.

High level of competency with Microsoft Suite/Word/Excel and email. Must be technically savvy with the ability to quickly learn new systems with limited or no training.

Ability to organize, monitor, and track numerous ongoing and one-time activities.

Ability to logically solve problems with little supervision.

Strong attention to detail.

Extremely high level of integrity and discretion in handling and communicating highly sensitive information. Ability to maintain strict confidentiality in all matters.

Ability to manage multiple projects

Willingness to work with timelines in a dynamic, fun environment.

To have the youth discover that anything is possible for themselves and their life and that they make THE difference in the world. They get to choose and create how their future goes.

Description

The primary way we impact the youth is through our mentoring program. In this program, our trained volunteer mentors conduct activity- and conversation-based sessions with people aged 10 to 18 in which they explore what they might not have already noticed is possible for their futures. This program is free and available to client organizations who serve the youth including schools, foster homes, and shelters that serve youth experiencing homelessness. In addition to our mentoring program, AIPF will soon be opening the doors of our first group foster youth home where residents will benefit from a staff and living environment that are consistent with AIPF's vision and mission.
