Description

The Bus Coordinator is the primary contact person for a local Bus Team. S/he works closely with the Sponsoring Agency, the volunteer Bus Team members, the Bus Company, and the Get On The Bus (GOTB) staff to create a successful Event Day for children and families.

Bus Coordinators are required to attend the annual training day in January.

OAKLAND

SAN JOSE

SACRAMENTO

MODESTO

STOCKTON

FRESNO

MADERA

VISALIA

SAN FRANCISCO

Time Commitment

  • Duration: January (or earlier if desired) to June
  • Mandatory Training Day: Last Saturday in January
  • Recruiting and training Bus Team volunteers: approximately 1-2 hours per week in February
  • Meeting with and responding to questions from Bus Team volunteers: approximately 1-2 hours per week as needed from February until Event Day
  • Post-event evaluation meeting and luncheon.

Duties

The Bus Coordinator's duties include, but are not limited to, the following:

Coordination with Bus Company - Finalizing Itinerary and Insurance Needs

  1. Discuss and confirm an acceptable pick-up location and time with the Sponsoring Agency
  2. Communicate details of itinerary with the bus company.
  3. Contact the Bus Company representative and complete the items listed on the Bus Reservation & Insurance form; then send that form to the GOTB central office.
  4. Follow up to get copy of insurance form if Sponsoring Agency desires one.
  5. Coordinate event day itinerary and complete insurance paperwork with bus company.

Leader of Volunteer Bus Team

  1. Recruit, train and support a team of volunteers who will handle the needs of the bus, families, and bus participants.
  2. Raise the $1,000 in funds to cover costs of bus; gather volunteers and in-kind donations needed for trip; and engage community and the media in the event.
  3. Meet regularly and maintain communications with the Bus Team to exchange information, solve problems, and provide support.
  4. Assure necessary event paperwork (prison & GOTB-required) is thoroughly and accurately executed by volunteers.

Liaison to the Get On The Bus Staff

  1. Participate in scheduled conference calls
  2. Share Bus Team's progress and questions with the corresponding GOTB Regional Coordinator or the GOTB central office.
  3. Organize and forward event paperwork to GOTB Staff by established deadlines.
  4. Bus Coordinators work from home or their sponsoring organization.
