Chair, Silent Auction and Raffle Committee for

Hostelling International Chicago's Annual Fundraiser (Blue Rendezvous 2009)

Key Responsibilities:

  • Develop Silent Auction and Raffle Solicitation Packets
  • Coordinate Solicitations of all Silent Auction Items
  • Communicate with all donors.
  • Obtain and store all donations
  • Coordinate the lay-out of all silent auction items
  • Create description and sell sheet for each silent auction item
  • Organize, in cooperation with Décor/Venue committee the auction
  • Process silent auction purchases
  • Obtain permit for raffle
  • Coordinate Solicitation of Raffle Prizes
  • Purchase Raffle tickets
  • Coordinate Raffle ticket sales prior to and during Blue Rendezvous
  • Organize Raffle ticket drawing
  • Other duties as is necessary to accomplish a successful Silent Auction and Raffle

Impact and Outcome:

The Chair of the Silent Auction/Raffle committee is key to the financial success of this annual (and largest) fundraiser for the educational programs at HI-Chicago.

Training and Support:

The Chair will be given contacts and forms from previous Blue Rendezvous events. The Chair will have at his/her disposal additional volunteers (including HI Chicago Board members) to help solicit items for the fundraiser. The Chair will have administrative support from the Chair and Operations Chair of Blue Rendezvous and the Executive Director and his staff at HI Chicago.

Qualifications:

The Chair will have excellent organizational and interpersonal skills. He/she must have enthusiasm and be willing to travel within the Chicagoland area to meet potential donors and to collect items donated. He/she must have transportation (or be able to get transportation to use on a limited basis). Most of this volunteer work will be able to be done by telephone and via e-mail/internet.

Time Commitment:

The Chair will need to work approximately 8 hours per month for October, November, December and January. February will require approximately 12 hours with additional time the week prior to February 28 th and the whole day and evening of February 28 th. Wrap-up paperwork will occur the week after February 28 th and will probably require an additional 4-8 hours of work.
