Purpose:
The Office / Financial Assistant coordinates the financial procedures of the office in Washington DC with the bookkeeping firm and auditor. This position reports directly to the President/CEO.
Duties and Responsibilities:
- Provide administrative financial support to the President/CEO
- Manage and coordinate general office financial procedures and documents
- Tracks ongoing financial procedures and reconciles all items monthly with bookkeeping service
- Prepares check requests and debit recording forms, and reconciles all expenses
- Prepares deposits with deposit tracking forms
- Prepares deposit tracking forms for electronic transfers of funds
- Prepares weekly packets for the bookkeeping firm
- Responds to all requests re end-of-month reports from bookkeeping firm
- Reviews monthly reports from Bookkeeping Express
- Tracks cash flow and prepares cash flow projections
- During budget development, works with President and Department Heads to compile needed information for accurate budget projections
- During audit works with bookkeeping firm and the auditors to assure a smooth preparation and process for the audit work
- Assists Development Team with financial aspects of fundraising events
- Other tasks as needed
Knowledge, Skills, and Experience Needed:
- An understanding of basic office management / financial procedures and the need for accuracy in all transactions
- Self-starter with excellent organizational skills and attention to detail; the ability to prioritize; and the ability to thrive in a small office
- Excellent computer skills, including competency with Microsoft Word, Access, Excel, and Outlook and donor databases
