VOLUNTEER JOB DESCRIPTIONS

Friday - General Site Set-Up

- Clear pits of large rocks/clumps

- Set-Up shower area

- Set-Up Nets

- Help with pit filling

- Set-Up 10x10 tents in assigned spots

- Make sure fence is up and secure

Saturday - General Site Set-Up

- Set out trashcans with plastic trash bags in them

- Help with pit filling

- Distribute appropriate tables and chairs to each tent

- Distribute one chair and one Coors umbrella to each net for Court Monitor

- Set out traffic cones

Volunteer Check-In & Hospitality

- Set-up tables and chairs (see packing list for numbers)

- Put tablecloths on tables and secure with duct tape

- Sort Volunteer t-shirts on back table by size

- Lay out pens and Volunteer Schedules

- Put sodas and water into bucket and cover with ice

- As volunteers arrive, check them off on the Volunteer Schedule and give them a t-shirt. Instruct them where they are scheduled to work and explain their duties to them.

- As lunch arrives, send a volunteer to the Coors tent, First Aid Tent, Registration Tent, Parking Attendants and Security to let them know lunch has arrived. Send a second volunteer to the Runners and Court Monitors to ask what they would like and deliver their lunch to them.

- Make sure all volunteers are walking around picking up trash on a regular basis. Also, check on the Court Monitors regularly to see if they need water or sunscreen. Watch as you are walking around to make sure no children enter the pits at any time.

- At the end of the Tournament, gather all supplies into Volunteer Tent Box. Remove tablecloths and throw away. Take all tables and chairs to Registration Tent. Pick up any trash in the area. When completed, assist with general site clean-up.

Registration & Team Check-In

- Set-up tables and chairs (see packing list for numbers)

- Put tablecloths on tables and secure with duct tape

- Arrange one table with t-shirts. Have Macy’s bags arranged alphabetically by team captain’s last name. Arrange other t-shirts by sizes.

- Put pens and clipboards out for each Registration Volunteer

- Put out Drink Ticket Price List

- As players arrive, make sure each team is "Paid in Full". Check binder for all players’ signatures on Waivers. Send a runner to get missing signatures. Give out t-shirts (if we have the sizes they will be in Macy’s bags - otherwise, find sizes needed). Give a site map, Rotation Schedule and Rules. Show them where their tent is if they have reserved a Team Tent. Guide them to purchase their drink tickets and get their wristbands.

- As the Championship Game begins, gather all supplies and put in Registration Tent Box. Remove all tablecloths and throw away. Take down all table and chairs and stack them neatly. Pick up any trash in the area. Join with general tear-down.

Court Monitors

- There must be one Court Monitor at each court at all times.

- Make sure all players are at the court 3 minutes prior to start time. If players are missing, send a runner to the Tourney Director to make an announcement. You will need to tell him what Court and Team Name.

- Once play starts, keep score on your score card for each game. At the end of each game, complete the score card with score total and which team won and which team lost. Give sheet to a runner to deliver to Tourney Director. Hold the ball between games.

- Play close attention to game. If there is a disputed call, you will be the final authority.

- Make sure children do not enter the pits at any time!

- At the end of Tournament Play, take your chair and umbrella to the Registration Tent. Turn in any supplies you have at the Registration Tent. Join in general site tear-down.

Runners

- Stay close to your Court Monitors. They will need you to deliver Score Cards to the Tourney Director’s Tent after each game. You will also get them water, sunscreen, etc., as needed.

- If a player would like a drink, you are to get a drinks ticket from them, take their order and go to the drinks tent to get their order and bring it back to them. You are not to take money - only tickets.

- Make sure children do not enter the pits at any time!

- At the end of Tournament Play, join in general site tear-down.

Decorating

- Hang banners on the appropriate tents (i.e. Registration, Volunteers, etc)

- Post restroom signs

- Post Mission signs all around area (make sure you are not blocking natural walkways, entrances, pit access, etc.)

- Hang balloons on posts of Registration, Volunteers, Tourney Director and First Aid tents.

- Hang signs on reserved tents, Loaf 'N Jug, etc.)

- Hang signs on reserved portalets

- Hang net sponsor signs w/zipties

- Hang Court # signs on nets w/zipties

Tear Down

- Take all 10x10 tents down, disassemble and place into their bags

- Take all tablecloths off tables and throw away

- Take all tables down and stack in Registration Tent

- Take all chairs down and stack in Registration Tent

- Take down all signage. Roll up banners and put signs in appropriate boxes.

- Collect all parking cones and vests and put in appropriate boxes.

- Load all boxes into cargo van
