Task Summary:
Responsible for maintaining the file system of the assigned department and ensure all filing is completed accurately and in a timely manner, in accordance with agency policies and procedures, contract requirements, and Federal Head Start regulations.
Essential Functions:
1. Retrieve, sort, and file incoming material such as staff files, training certificates, etc., in a timely manner and according to file system and/or legal requirements; and maintain agency/contractual file checklist in each personnel file.
2. Retrieve files as necessary.
3. Photocopy files or documents as needed.
4. Maintain an arranged file system.
5. Maintain confidentiality of all information and adhere to HIPAA regulations. Ensure all files and confidential information are kept locked in a desk or file cabinet when not in use.
6. Special projects to include creating packets, data-entry and development sessions.
7. Maintain good relationships with stakeholders (including current and potential clients, community and co-workers), focusing on providing excellent and culturally sensitive customer service and presenting a positive image of the agency in all community and stakeholder interactions.
8. Maintain a working environment which encourages mutual respect, promotes respectful and congenial relationships between employees/volunteers/interns and is free from all forms of harassment.
9. Perform other duties as assigned, including presentations to community groups and organizations, in accordance with the agency’s "team" philosophy.
