This is a unique opportunity that could lead to potential employment with our agency pending volunteer's performance and agency funding. The volunteer Clerical Assistant must be available to volunteer for two days per week from 5:30 P.M. to 9:00 P.M. Available days are Mondays, Tuesdays, Wednesdays, and Thursdays.
The Clerical Assistant must be able to do the following things:
1. Greet clients and visitors warmly
2. Answer and direct phone calls
3. Call clients to follow up and make phone calls as necessary
4. Take and distribute messages for RTE staff and executive
5. Organize and schedule appointments for TABE assessments
6. Register and enroll clients for adult literacy programs
7. Maintain organized records of client files
8. Report to the Office Manager on a weekly basis on client follow up status and clerical duties
9. Organize and coordinate internal and external meetings
10. Handle inquiries and incoming work requests
11. Monitor and keep inventory of office supply
12. Review files and records to answer requests for information
13. Check and distribute documents and correspondence, as necessary
14. Receive, sort and distribute incoming mail (if applicable)
15. Maintain filing systems
16. Photocopy, scan and fax documents, as necessary
17. Send emails, as necessary
18. Prepare and send outgoing mailings and packages when necessary
19. Type documents and correspondence when necessary
20. Data entry
21. Update and maintain databases
22. Coordinate work flow
23. Supervise volunteers
24. Manage petty cash
25. Keep office area neat and tidy
26. Prepare coffee and refreshments for guests
27. Handle additional clerical duties as they are assigned
