ORGANIZATION: Flashes of Hope

Photo shoots are held in local partner hospitals and anywhere from 10 to 20 children are photographed during a hospital session. Photo sessions are typically scheduled by the Hospital (in conjunction with the local Chapter Director) once a month or quarter for 3-4 hours. Children are photographed individually and then with their supporters such as siblings, parents, grandparents, and special friends. The children often asked to be photographed with their favorite nurse or doctor. Each family is given a complete set of 4x6 proofs, one 8x12 image and a link to download all of their images digitally.

Prior to the scheduled photo shoot, the local Flashes of Hope Chapter Director will perform the following to ensure a smooth and seamless photo shoot:

1. Schedule hospital photo shoots and communicate all shoot dates to FOH national office staff. Shoot dates are typically scheduled at least 3 months in advance.

2. Schedule photographer & makeup artist / stylist for specific photo shoot dates.

3. Communicate shoot date details (time, location, etc.) to all individuals involved with the upcoming photo shoot (i.e. hospital representative / Child Life, Photographer, Makeup Artist / Stylist, Photo Shoot Volunteer)

4. Train Photo Shoot Volunteer prior to having volunteer manage their own photo shoot.

5. Provide all necessary supplies to Photo Shoot Volunteer to use at upcoming photo shoot.

Responsibilities of Photo Shoot Volunteer:

  • Arrive at the hospital (location to be communicated to volunteer by local Chapter Director) approximately 1 hour before the scheduled photo shoot to meet the photographer & makeup artist / stylist for set-up.
  • Set-up table or space to display FOH marketing materials, sample family packet, etc.
  • Prior to photo shoot, fill out the necessary photo shoot information on the ipad and photo shoot have the photographer complete & sign the Copyright Agreement and Authorization & Release Provide photographer with a copy of the FOH Photographer Guidelines.
  • Provide photographer, makeup artist / stylist and any other volunteers with FOH t-shirts to wear at photo shoot.
  • As families arrive, have them complete and sign a Flashes of Hope release on the ipad.
  • Make sure photographer, assistants, and makeup artists / stylists have what they need (offer water, etc). Photographer should be given the white board - you will write the name of the child being photographed in the board - the child will hold this in front of them for their first picture (so that the photographer can identify the child when editing the images after the photo shoot)
  • Any questions that arise from families, Child Life, etc. that you are not able to answer should be directed to your local FOH Chapter Director.
  • At the end of each photo shoot, email all documents (via ipad release app) to the National Office.

Flashes of Hope brightens the lives of children with cancer and life-threatening illnesses through a national photography program, special events and by investing in childhood cancer research.

Description

Flashes of Hope was founded by the parents of a pediatric cancer patient during their 18-month-old son’s first battle with cancer. Since 2001, Flashes of Hope has partnered with pediatric hospitals nationwide, presenting free photo packages to over 75,000 young patients and their families.

Flashes of Hope provides direct services to over 5,000 children battling cancer. Photo sessions are held monthly at our 120 partner hospitals and special events nationwide for children battling cancer. The direct interaction with patients and their families allows us to provide needed and consistent assistance to the pediatric cancer community.

Volunteer photographers, assistants and professional stylists transform hospital floors into professional studios to photograph the children with their family and supporters. Stylists carefully apply makeup, often teaching teenage girls how to re-create eyebrows lost to chemotherapy and help children and family members look and feel their best. Once in front of the camera, uncertainty gives way to joyful smiles.

A few weeks after the photo shoot, families receive a 8"x 12" mounted portrait, 4"x 6" prints and an online gallery of downloadable images that document the strength, beauty and unique story of their child.
