Guns & 65 Roses - Day of Event Volunteer Opportunities

This fun event is a sporting clay tournament to raise funds and awareness to find a cure for Cystic Fibrosis. Following the tournament we will host a gala lunch with entertainment as well as live and silenct auction.

Load Out/Load In

Help pack, label and load event materials into the truck. Follow the truck to the venue and help with loading in.

Event Set-Up

  1. registration set-up

  2. auction set-up--making beautiful displays for auction and setting out bid boards;

  3. chair and table set up

  4. decorating pavilion;

  5. set up signage.

Greeters

Help greet guests as they arrive, ensure that their arrival is warm and that they understand what they need to do (if anything) before beginning to enjoy the day. They should welcome guests, answer any questions and direct to appropriate areas.

V.I.P. & General Registration

These volunteers actually host the guest registration and are responsible for a positive experience as guests check-in. These volunteers usually ensure each couple receives a bid packet and collecting express check-out cards for auction.

Gala Dinner Greeters

These greeters help move guests into the pavilion for lunch and assist guests in finding their tables.

Live Program Volunteers/Spotters

These volunteers are responsible to ensuring that bidders (for live auction and Bid for a Cure) are recognized quickly and efficiently. Usually each Spotter is responsible for no more than three tables of eight. They should note all Live Auction winners bid numbers on their Live Auction sheet. During Bid for a Cure they are responsible for distributing bid cards to people at the tables they are responsible for and then collecting each one.

Silent Auction Facilitators

These volunteers are responsible for promoting items at the table that they are assigned to; ensuring that minimum bids are met and answering any questions about the items on the auction in general and items on their table specifically. As the silent auction closes, these volunteers are responsible for collecting the bid sheets from their assigned table(s) and giving them to Auction Check-Out

Auction Check-Out

Data Entry: Enters information into auction database about winners and winning bid so that invoices can be printed out.

Auction Check-Out: These volunteers collect payment from guests and ensure the guest receives their items (whether they are picking them up that night or having them sent to them).

Auction Runners: These volunteers may be assigned to help collect the winning items and deliver them to the winners.

Event Clean Up

These volunteers help pack the boxes, take down the signage and ensure that the venue is left the way it was found with all of the Foundation’s items put into cars for delivery back to the office. Areas in need of help include: ballroom, auction items and decorations, registration/check-out area, volunteer room and event office.
