Summary: The Business Operations Office Assistant is an unpaid volunteering opportunity responsible for providing basic warehousing and clerical support.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Basic Warehousing duties are, but not limited to:
- Assembling packages/items/stock.
- Processing shipping documents, bills of lading.
- Organizing boxes, filing cabinets, samples from suppliers/vendors.
- Cleaning and housekeeping jobs.
Clerical jobs are, but not limited to:
- Archiving boxes and labeling it for reference and proper identification.
- Filing and creating files for processed documents, paperwork, forms, contracts, reports, etc.
- Ensuring that file binders and/or folders are properly labeled for ease in identification, classification and access.
Safety responsibilities are, but not limited to:
- Observing safe working conditions, working habit, work procedures, methods and processes at all times.
- Identifying unsafe and/or hazardous conditions/practices at work area and reports to supervisor for immediate action.
Continuously seeks improvement of work methods and processes and apply identified improvement(s) to present job.
Supervisory Responsibilities: This position has no supervisory responsibilities
Education and/or Experience: High school diploma or general education degree (GED) is required. Experience in warehousing and/or clerical jobs is preferable but not a must.
Language Skills: Position requires the following: ability to read, identify and classify documents such as bills of lading, shipping documents, packing list, receiving documents, withdrawal forms, contracts and reports; ability to speak effectively with management, employees and people with diverse background; able to file alpha-numerically.
Computer Skills: To perform this job successfully, an individual should have basic skill level in Microsoft office suite products including, Word, Excel and a working understanding of a network and shared folders. Knowledge in Outlook also is preferred.
Physical Demands: While performing the duties of this Job, the volunteer is regularly required to sit and talk and hear. The volunteer is occasionally required to stand, walk, use hands to finger, handle, or feel and reach with hands and arms. The volunteer must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The volunteer is also required to exercise patience and care in handling fragile items.
Work Hours and Environment: The noise level in the work environment is usually moderate. The Volunteer is also required to observe office protocol, dress codes, must show professional demeanor and tact in dealing with people. Work hours to be arranged with supervisor. Volunteer must commit to work at least 3 to 4 hours per week with 2 to 3 months duration.
