. This position will organize membership data on a regular basis and remind members when it is time to renew their membership. The membership clerical functions include preparing correspondence, contacting members, regional and state representatives. This position calls for an innovative and independent thinker who can execute tasks and duties with little or no supervision. Must be well organized, flexible and enjoy the challenges of supporting a small office of diverse people. May also train and supervise lower-level clerical staff.
Specific/required duties include:
1. Checking emails and correspondence for membership applications
2. Prepare membership confirmation letters and email them
3. Organizing membership drawers and online files of membership.
Create a system to remind members that expiration dates are approaching
Create a system to remind members that expiration has happened.
Create a system to retain members and increase membership.
Confirm that members receive and email receipt
Ensure that all member names are added to vertical response and the ICTC face book page.
Reach out to state and regional representatives monthly to post their member activities on the ICTC Google calendar.
Update the members confirmation letter to make it relevant and attractive.
Update the state and regional representative form.
and reports to determine their significance and plan their distribution
4. Open, sort, and distribute incoming membership correspondence, including faxes and email
5. File and retrieve membership documents, records, and reports
6. Welcome visitors and find out who they’re there to see and if staff member is available to them
7. Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
8. Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work

* Clerical: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
* English Language: Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
* Customer and Personal Service: Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction

- Remain flexible, positive, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is mandatory to this role.
- Proficient written and verbal communication skills, strong decision making ability and attention to detail are equally important.

- Firm believer in supporting prevention of infant mortality.
- Experience as an executive assistant.

The ICTC mission is to increase the number of midwives, doulas and healers of color, to empower families, in order to reduce maternal and infant mortality.
Description
The International Center for Traditional Childbearing (ICTC) is a non-profit infant mortality prevention, breastfeeding promotion, and midwife training organization. Established in 1991 and headquartered in Portland, Oregon, ICTC has members and chapters around the globe. ICTC members are women and men who want to improve birth outcomes, build capacity through training, and provide volunteer opportunities in their community.
ICTC outreaches, recruits and trains women, men, and young girls in traditional and current birth practices as a strategy for improving birth outcomes, increasing breastfeeding rates, and capacity building. ICTC has four training programs to meet its mission.
